NCEdCloud IAM Service has provided Badges (QR Codes) as an alternative login method for younger students. This feature was updated in late 2023, allowing all PreK-5 students to use badges without the need for PSUs to opt in.

How Do Badges Work?

Teachers and staff with the right permissions on NCEdCloud can print QR Code Badges for students in grades 3 through 5. These badges let students log in without typing a username and password. However, students can still use their regular login if they want to.

Who Can Use QR Code Badges?

  • All PreK-5 students (Grades 3–5 in the Student System)
  • Teachers and staff with privileged roles can issue and print badges
  • This feature is available by default for schools that do not manually choose to opt-out.

How to Login NCEdCloud with Badges (QR Codes)?

  1. Visit the NCEdCloud login page from a compatible (Windows, macOS, or Linux) device.
  2. Click “Scan Student QR Code“
  3. Hold the Badge Up to the Camera and make sure there is good lighting and the badge is printed clearly.
  4. The system will process the badge and log the student in automatically.
  5. If the Scan fails, you can try adjusting the lighting, holding the badge stead. If none of this works, print a new badge.

How to Opt Out NCEdCloud Badges?

If a PSU does not want to use badges, the PSU must submit an opt-out request. PSU Technology Directors or Administrators assigned the LEA Administrator or LEA Data Auditor will have access to the PreK-5 Authentication Opt-Out Form. Once opted out, that specific grade will no longer be able to print badges.

Q. What to do if my badge is not scanning?

A. Make sure there is sufficient light for the camera to read the QR code, keep the badge still, and use white paper for greater contrast when printing.

Q. What to do if it says “QR Code Authentication Failed”?

A. This error can come up if the student changed their password after getting their badge. You’ll need to print a new badge now and for that, go to the Profiles section in NCEdCloud, choose My Students (QR Code) – LEA ###, and print a fresh badge.

Q. Can I login NCEdCloud without a badge?

A. If a student forgets their badge, they can type their Student Number, Password and click Go to log in like usual. If they accidentally click Scan Student QR Code, just press Start Over to go back.
